Role Summary
We are seeking a friendly, professional Front Desk Receptionist/Scheduler to manage patient consultations and scheduling. This role involves fielding calls from our call center, greeting patients, and supporting the office team in converting consultations into on-site appointments. Ideal candidates will have experience in med spa or plastic surgery coordination alongside traditional front desk responsibilities.
 

Key Responsibilities

  • Patient Interaction: Welcome patients, manage check-ins, and ensure a positive experience.
  • Phone: Field calls from potential patients, answer questions, and schedule consultations. Answer multi-line phones, use fax machine and scanner, utilize different software and Practice Management System to adequately notate all interactions.
  • Scheduling: Maintain calendars and ensure accuracy for patients and office staff.
  • Payments: Confidently process payments, track balances, and manage insurance claims. Balance deposit and complete end of day reports daily for manager review
  • Office Management: Keep the administrative area organized, monitor supplies, and handle mail, emails, and voicemails.
  • Team Collaboration: Work closely with the office manager to ensure seamless operations and an exceptional patient journey. Check voicemails, faxes, and email throughout the day and communicate important information to the team.
Qualifications and Expected Competencies:
  • 2+ years of healthcare scheduling experience (dental or medical preferred).
  • Strong organizational, communication, and multitasking skills.
  • Warm, empathetic, and professional demeanor.
  • High attention to detail and willingness to adapt in a fast-paced environment.
  • Bilingual (Spanish) is a plus.
  • High school diploma or GED required.  

Schedule & Benefits

  • Monday-Thursday, 7 AM through 430 PM
  • Fridays as needed- during busy months, every Friday 1/2 days
  • Competitive hourly wage based on experience.

The employee may need to travel to healthcare practices.
